Homeowner’s Association (HOA) Services

Below you will find a general list of management services we offer our clients as a full-service management company. The list is not inclusive as we cater to the unique needs of each association— providing the specific level of management they need. Our service level can range from full management to à la carte services, depending on what you require.

Homeowner Association Dues Collection

  • Collection of Homeowner Dues Payments
  • Late Fees Assessed (Monthly and Annually)
  • Production of delinquency letters

Bill Paying

  • Input of all association expenses and remit payment per Board approval.

Financial Preparation

  • Production of Monthly Financials
  • Preparation of annual budget to present to the board for approval

Meetings

  • Assist in scheduling of monthly and/or quarterly board meetings
  • Attend 4 selected meetings of BOD plus the annual meeting.
  • Monthly distribution of financial packets and minutes to homeowners through our online AppFolio portal.
  • Complete a Spring and Fall walk-through with the board.

Maintenance

  • Bids and Contracts
    • Collect vendor bids on common area services, major improvements, maintenance repairs, etc. per the BOD’s request and submit to BOD for approval.
    • Prepare contracts and schedule maintenance at BOD’s direction.

Customer Service

  • Provide all homeowners with access to our online software system AppFolio. This allows payments to be made online, and also maintenance requests to be submitted.
  • Provide association with an after-hour emergency phone number.
  • Address all calls and emails for from homeowners.
    • Maintenance, Compliance, Homeowner Issues Etc.

Insurance

  • Collect a minimum of 3 quotes for association insurance policy prior to the renewal yearly.
  • Work alongside insurance claims adjusters and contractors once claims are submitted for common element incidents
  • Report all incidents or damage to common elements as a claim to the insurance policy holder.
